What we collect when you send a part request, why we hold it, who we share it with, and how to have it removed.

1. Who is responsible for your data
OEMSeek is operated by a trading company dealing in used original, genuine and OEM vehicle spare parts. In this policy, “we”, “us” and “our” refer to that company. We are the controller of the personal data described below.
For any question about this policy or about your data, contact us on WhatsApp at +852 7047 2987. That is our fastest and preferred channel.
2. What we collect
Information you give us. When you ask us to source a part, we receive whatever you choose to send, typically:
- Your name, and a phone or WhatsApp number we can reply to
- An email address, if you prefer to be contacted that way
- Vehicle details — make, model, year, and often the VIN or chassis number
- The part you need, any OEM or manufacturer part number, and photos of the old unit
- A delivery address and, for an order, the details needed to invoice and ship
Information collected automatically. Our site is served through Cloudflare, which records standard access logs — IP address, browser and device type, the pages requested, and the time of the request. These logs are used for security, abuse prevention and aggregate traffic counts. We do not use them to build advertising profiles.
We do not ask for and do not want sensitive data such as payment card numbers sent over chat. Payment details, where needed, are exchanged through a separate agreed channel.
Stock list. If you subscribe to our stock list, we keep the email address you enter, the date you subscribed and the page you subscribed from. We use it only to send occasional messages about new arrivals, clearance lots and offers. Every message carries a one-click unsubscribe and removal is immediate. Stock-list addresses are never added to another list, and we do not sell or rent them.
3. Why we hold it
- To quote and match a part. A VIN is often the only reliable way to confirm fitment; without it we cannot guarantee the part will work in your vehicle.
- To supply and deliver. Order handling, export documentation, carriage and customs paperwork.
- After-sales. Handling a fitment question, a return, or a warranty claim.
- Fraud and abuse prevention. Detecting fraudulent orders, chargeback patterns and automated scraping.
- Legal obligations. Keeping transaction and tax records where the law requires it.
- Stock list emails. Sending new arrivals and offers to people who asked to hear about them — consent-based, withdrawn in one click.
4. Our legal basis
Where the EU or UK General Data Protection Regulation applies, we rely on: performance of a contract or steps taken at your request before a contract (quoting and supplying); our legitimate interests (preventing fraud, securing the site, improving our service); compliance with legal obligations (tax and accounting records); and your consent where we ask for it specifically, which you may withdraw at any time.
5. How long we keep it
- Enquiries that do not become an order — up to 12 months from the last message, then deleted.
- Completed orders, invoices and shipping documents — 7 years, as required for tax and accounting.
- Access logs — retained by our hosting provider for a short period for security purposes, then discarded.
When a retention period ends, records are deleted or anonymised so they no longer identify you.
6. Who we share it with
We do not sell, rent or trade personal data, and we do not pass it to anyone for their own marketing. We share only what is necessary, with:
- WhatsApp (Meta) — messages you send us travel through WhatsApp and are subject to its own privacy terms. If you would rather not use WhatsApp, ask us for an alternative channel.
- Cloudflare — hosts this website and processes access logs on our behalf.
- Carriers and freight agents — name, address and phone number, so a shipment can be delivered and cleared.
- Payment providers and banks — to receive and verify payment.
- Professional advisers and authorities — where we are legally required to disclose, or to establish or defend a legal claim.
7. Where your data is processed
We operate internationally, and your data may be processed in a country other than your own, including Hong Kong, Singapore, the European Union and the United States, depending on which supplier, carrier or service provider is involved. Where data leaves the EEA or the UK, we rely on appropriate safeguards such as standard contractual clauses, or on a legal derogation connected to performing your order.
8. Cookies and tracking
This site is a set of static pages. We do not run advertising cookies, tracking pixels or third-party analytics on it. There is no Facebook pixel, no Google Analytics and no remarketing tag, so there is no consent banner to click.
Our hosting provider sets strictly necessary security cookies — for example one that helps distinguish human visitors from automated traffic. These are required for the site to function and are not used to follow you across other websites.
9. Your rights
Subject to local law, you may ask us to: confirm what data we hold about you and give you a copy; correct anything inaccurate; delete data we no longer need; restrict or object to certain processing; or transfer your data to another provider in a machine-readable format. Where we relied on consent, you may withdraw it.
Write to us on WhatsApp at +852 7047 2987 and we will respond within 30 days. We may need to verify your identity first. If you are not satisfied with our answer, you may complain to your local data protection authority.
10. Children
Our service is intended for businesses and adults. It is not directed at anyone under 16, and we do not knowingly collect their data. If you believe a child has sent us personal data, tell us and we will delete it.
11. Security
Traffic to this site is encrypted with HTTPS. Access to enquiry and order records is limited to the people who need it to quote, ship and support your order. No system is perfectly secure, but we keep records to what a transaction actually requires rather than collecting data we have no use for.
12. Changes to this policy
If we change how we handle data, we will update this page and the date at the top. Material changes affecting existing customers will be communicated directly where we hold a contact for them.
